Estimate Recovery · For any business that sends quotes

You already sent the quote.
Now let's close it.

Estimate Recovery follows up on every open estimate and quote your team sends, from a repair ticket to a six-figure project. AI drafts each message, a person approves it, and it goes out in your company's name. Customers who are ready come back to you ready to buy.

Nothing goes out without approvalEvery message is reviewed by a person and uses only facts your team signed off on.
Your pricing. Your voice. Your calendar. We never quote, discount or promise a date. Your team does what it does best.
Measured in closed sales, not opensEvery reply, meeting and sale is tied back to the original quote.
Who it's for

If your business sends quotes, some of them are waiting on an answer.

Every business that quotes before it sells has the same leak: the customer says "let me think about it" and nobody follows up. We set Estimate Recovery up around your process, your tools and your customers.

HVAC contractors

Replacement and new-install estimates that stall after the home visit.

See the HVAC version →

Home services and trades

Plumbing, electrical, roofing, solar, remodeling, windows and doors, pools, landscaping, garage doors, pest control.

Commercial and specialty contractors

Bids and proposals for mechanical, electrical, fire and security, flooring, painting, signage and general contracting.

Distributors and manufacturers

Quotes for parts, equipment, custom orders and volume pricing that sit in a sales rep's inbox.

B2B and professional services

Proposals from IT and managed services, agencies, printing, staffing, engineering and consulting firms.

Anything that starts with a quote

Events and catering, moving, equipment rental, auto body, custom fabrication. If you price it before you sell it, it fits.

Anywhere in the U.S. and Latin America

Setup is remote and messages go out in English, Spanish or both. Where you are doesn't matter; how many quotes you have open does.

Where the money leaks

The most expensive lead you have is the one you already quoted.

Think about what a quote costs before a single dollar comes in: the first call, the site visit or the meeting, someone's time to price it, a written proposal. Then the customer says the words every business knows: "Let me think about it."

Meanwhile new work keeps coming in, and today's urgent jobs come first. Two weeks later the quote is buried under fifty newer emails. The customer didn't disappear; they're still deciding. Whoever follows up wins the job. Most of the time, nobody does.

Quick math (example only)
40
quotes sent in a typical month
12
close on their own, the way they do today
28
stay open. At a $5,000 average quote that is $140,000 of quoted work waiting in an inbox
+3
won back with steady follow-up is $15,000 in new revenue every month, without buying a single new lead.

Your numbers will be different. On the call we plug in your real volume, average quote and margin.

How it works

Five steps. Your team stays in control at every one.

1

Import your open quotes

You send an export of open estimates or quotes from whatever you use today: ServiceTitan, Housecall Pro, Jobber, QuickBooks, HubSpot, Salesforce, Odoo or a spreadsheet. About 30 minutes of your time, once.

2

Set the rules together

Which quotes are eligible (for example, 7 to 45 days old) and which are never touched: won, lost, cancelled, disputed, opted out, or already being worked by your team. One record per quote, so nobody is messaged twice.

3

Follow up, reviewed by a person

For each eligible quote the system drafts a short, personal note in your company's voice, using only approved facts. A person reviews it, then it goes out from your own mailbox. A typical sequence is day 0, day 4 and day 10, then we stop; we adjust it to your sales cycle.

4

Route every reply

"I'm ready" goes straight to your team to schedule or close. Questions go to the person you named. "Stop" is honored immediately, everywhere.

5

Report in numbers you can act on

Every Monday, one page: quotes touched, replies, meetings booked, deals won and revenue, tied to the original quote.

What never leaves your hands

Pricing, discounts and financing. Scheduling and availability. Technical answers about your product or service. The customer relationship. The system prepares and organizes; your people decide.

Built-in safeguards

Human approval

Every message is read by a person before it goes out.

No double messaging

One record per quote. Duplicates are merged before anything is sent.

Fresh status

Won, lost or in-progress quotes are excluded before every send.

No promises the AI can't keep

Price, dates and availability are only ever quoted by your team.

Stop means stop

An opt-out applies instantly to email and any channel added later.

Pause any time

One email from you pauses everything. Nothing is locked in.

Getting started

Test it on the quotes you already have open.

First month: up to 100 open estimates or quotes, set up within 5 business days of receiving your export, up to three reviewed follow-ups per quote, reply routing, a weekly one-page report and a month-end review call.

Flat monthly fee sized to your quote volume, confirmed on the call. No contract, no setup fee, no per-user licensing. Cancel any month.

After the first month, you choose

Continue

Same scope, month to month. Follow-up on every new quote as it comes in.

Grow

More quotes, text messages once consent is in place, renewals and service agreements, the CRM side of the business.

Stop

Keep the report and the cleaned list. No further cost, no hard feelings.

Also from ARMKU: a CRM without per-user licensing

If keeping track of customers is a headache too, spreadsheets, a CRM nobody updates, or one that charges for every seat, we set up and run open-source systems like Odoo at very competitive prices. One flat cost, no per-user fees, and your data stays yours.

Questions we get

Do you only work with companies in Houston?

No. We're based in Houston, but everything is set up remotely and we work with businesses anywhere in the U.S. and Latin America.

We don't use any of those tools. Does it still work?

Yes. A spreadsheet, an export from your accounting system or even a folder of sent proposals is enough to start.

Can the messages go out in Spanish?

Yes. English, Spanish or both, depending on your customers.

Is this a mass email blast?

No. Each message is written for one open quote and read by a person before it goes out, from your own mailbox. Low volume, personal notes.

Next step: a 15-minute call

We check three things: that you have enough open quotes, that you can take on more work, and that there is a real follow-up gap. If it isn't a fit, we'll say so, and you'll still leave with a clearer picture of your open quotes.
