A hotel under construction,
every purchase tied to its budget.
A new hotel is being built. ARMKU set up the system that controls the money going out during construction: purchase orders, supplier bills and payments, each one tagged to its chapter of the project budget; a report that shows management where every chapter stands; and a step-by-step manual so the team runs it on its own.
From the quote request to the budget.
Request
The quote request goes to the supplier as a PDF.
Order
The confirmed order counts as committed in its chapter.
Advance
Advance payments are recorded before the bill arrives.
Bill
The supplier bill is created from the order and counts as billed.
Pay
Full or partial payments, and what is still owed to each supplier.
Control
The report shows every chapter against its budget.
Six pieces, one system.
Delivered: built, loaded with the client's own data and handed over to the team together with its manual.
The manager's report: budget control
Delivered- For each chapter: budget, committed in open orders, billed, remaining and percent consumed.
- It reads the same orders and bills the team already enters: no spreadsheet on the side.
- An in-house module, because the free edition of Odoo 18 has no budget app.
Purchasing and payments
Delivered- Quote requests, purchase orders, supplier bills and payments, full or partial.
- Advance payments to suppliers, recorded before the bill.
- What is owed to each supplier, always up to date.
Every line tagged to its chapter
Delivered- Eight chapters: site work, substructure, structure and facade, interiors, furniture and equipment, building services, bonds and insurance, and contingency.
- Fifteen rules read the product category and fill in the chapter: nobody has to remember a code.
- Budget figures loaded from the project's own work breakdown.
The project's data, from its own files
Delivered- 142 products and 62 suppliers, read straight from the client's spreadsheets.
- 21 categories that separate construction work from furniture, fixtures and equipment.
- A loader that can run again safely whenever the spreadsheets change.
Local taxes, set up in-house
Delivered- Odoo ships no tax package for that country, so we built it: sales tax, an exempt rate and two withholdings, each with its own account.
- Every product picked up the right tax automatically.
The manual: a step-by-step guide
Delivered- Twelve sections and two annexes: request, order, advance, bill, pay and control the budget.
- Written for the people who enter the purchases, not for programmers.
- Delivered as a branded PDF together with the system.
- The whole system in Spanish, screens and menus included.
What comes next
Electronic invoicing when the project has to issue its own tax documents, and hotel operations, from reservations to rates, when the building opens. Same system, new modules.
The client's files first, then the software.
Their spreadsheets became the data
The budget, the furniture lists and the finishes schedule are inside the system, not in a parallel file.
Open-source Odoo, no license per user
What the free edition lacked, like the budget report, we built.
Loads that can run twice
Every data load and tax setup is a script that can run again without duplicating anything.
In the team's language
Screens, menus and the manual in Spanish, written for daily use.
The same control works for any project with a budget.
If your project spends against a budget, the same system shows where every peso or dollar is going, chapter by chapter, anywhere in the U.S. and Latin America.
